Registration Management Strategy: Fees and Deadlines The BSBF event format requires the collection of logistical information (participation in social events, visits, transfers), payment details, and professional information (MyProfile), to facilitate controlled access and B2B activities during the event. The registration platform was requested to open from January 2024. Based on experience, the PCO recommended postponing it to mid-spring, about six months before the event, to optimize registration timelines and help manage deadlines. Actual Dates for the Registration and Payment Platform • March 15, 2024: opening of the registration platform • March 15 – May 31, 2024: early bird rates • June 1 – September 23, 2024: late fee • October 1 – 3, 2024: onsite fee (same as late fee) The platform was closed 10 days before the event to allow data, payment checks, and badge printing. To meet these requirements, two integrated platforms were used, as described below. 1. Logistical Registration (CMS) As this event required paid entry, the PCO (The Office) used its own management system with an online interface for logistics registration and payment collection. This platform, directly connected to a dedicated bank account, enables online payment exclusively by credit card and the immediate issuance of an electronic invoice, as required by Italian taxation. The invoice, available in the participant’s personal area, is emailed to the participant upon completion of registration. • After payment and the finalization of registration, all users receive a summary email (selected events/visits and the total amount paid). 2. MyProfile Registration To collect and manage data related to participants’ professional profiles, a second platform (Eventscase) was integrated via a data bridge. Eventscase (https://eventscase. com/en/) manages professional data for B2B meetings and the creation of personal agendas for participants. Once payments are validated, users automatically receive an email with instructions to complete their professional profile and access B2B tools. 2.
