Real attendance and Onsite Registrations To complete the analysis of actual attendance at the Forum, here are the data on onsite participants and registrations. This shows the participation rate and the direct interest generated at the venue. Of the 949 pre-registered participants, 21 did not attend. However, there were 85 new onsite registrations. This brought the total number of actual participants to 1013, of which 455 were paying attendees. The following table lists participants by category, reflecting the diverse audience from institutional representatives and speakers to exhibitors and various guests. 2.6. Participant Welcome Management All participants, except for authorities, were registered through an accreditation system based on QR code scanning. One week before the event, each participant received an email containing a personal QR code. The onsite registration area was set up with 4 self-print totems (automatic badge printing via QR code), supported by 3 hostesses and 2 support stations with technicians and the registration manager plus an additional person to finalize new or pending onsite registrations. Upon arrival, participants were invited to the totems, equipped with scanners to read the QR code frommobile devices. This process automatically checked them in and enabled badge printing from the integrated totem printer. The hostesses at the self-print registration stations assisted participants in printing their badge, which was an A4 label folded in half (butterfly badge format). The badge, designed in line with the event’s visual identity, displayed the participant’s name, surname, affiliation, and QR code. For visibility and security reasons, everyone was asked to wear the badge at all times within the BSBF 2024 venue and during social events. The QR code was also used to check participants into social events and research center visits.
